Frequently asked questions

Everything you need to know about ENFORMITY: features, AI, regulation, security and packages.

General

What is ENFORMITY?

ENFORMITY is a cloud-based software for contract management and for keeping an outsourcing and third-party register. It stores all contracts, contract parties, contact persons and documents in one audit-ready database and uses AI to capture new contracts automatically.

Who is ENFORMITY for?

For companies and institutions that need to keep track of many contracts and service providers. ENFORMITY has its roots in the financial sector, where banks, payment institutions and their advisors use it for group-internal SLAs and outsourcing registers, but it works for any organisation with documentation requirements.

Who is behind ENFORMITY?

ENFORMITY is developed and operated by dieIngenieure Technologiestrategieberatung und Lösungen e.U. in Vienna, Austria.

Do I need to install anything?

No. ENFORMITY is software as a service and runs in any modern browser on desktop, tablet and phone.

Can I try ENFORMITY?

Yes. Request a test environment via the contact form on enformity.com and we will set it up for you. We are also happy to arrange a reference call with an existing customer.

Which packages are available?

ENFORMITY is offered in the packages Essential, Professional and Enterprise. AI contract analysis is included from Professional. Please contact us for prices.

Contract management

Which documents can I manage?

Contracts and all related documents, for example appendices, annexes, amendments, addenda, SLAs, OLAs, cost-sharing agreements, side letters and accession deeds. Documents can be uploaded individually or in bulk and viewed in the browser.

Can ENFORMITY map contract hierarchies?

Yes. A main contract can have sub-contracts, and documents can amend, replace or reference each other. A validity view shows the whole contract group as a timeline, and a relationship graph connects contracts, parties and contact persons.

Which contract dates are recorded?

Signing date, start date, initial and current end date, notice period, automatic renewal period and post-termination period, among other fields. Which fields are used is configured per organisation.

Can I edit many contracts at once?

Yes. From any contract list you can change field values, reassign contract parties or contact persons, add or remove tags and move or merge contracts in bulk.

Can I export my data?

Yes. Contract lists can be exported to Excel and CSV at any time, optionally including contract parties and contact persons. When your contract ends, you receive an export of your data.

How are contract parties kept up to date?

ENFORMITY checks company data against the EU VAT register (VIES), the global LEI register (GLEIF) and the Austrian company register, and can update master data automatically when it changes.

AI contract analysis

What does the AI do?

The AI reads uploaded or emailed contracts and extracts contract parties, contact persons and the contract fields your organisation has selected, such as title, document type, dates, signing status and classifications. It then proposes a contract record that a person reviews and confirms.

Which AI model is used?

You choose: a cloud-based model (Google Gemini) or local AI models operated in the EU in compliance with the GDPR. The model is selected per organisation in the settings. Organisations can also use their own model key.

Can the AI run without a cloud provider?

Yes. Instead of the cloud model, you can select local AI models that are operated in the EU in compliance with the GDPR. Contracts then do not leave the EU for the analysis.

Are my contracts used to train AI models?

No. Customer data and contracts are not used to train or improve the underlying AI models.

Can the AI make mistakes?

Yes, which is why every result is a proposal. Extracted partners are validated against existing records and public registers, values are limited to your own value lists, and nothing is saved without a person confirming it.

Can I switch the AI off?

Yes. AI analysis is switched on or off per organisation, and you choose how much it extracts.

Regulation

Does ENFORMITY support the EBA outsourcing register?

Yes. Register information such as outsourcing relevance, service category, intragroup or extragroup counterparty, cloud and GDPR relevance and risk classification is recorded on each contract. Fields and value lists can be adapted to your requirements, and the register can be exported to Excel at any time.

How does ENFORMITY handle DORA?

Each contract can be classified with its DORA ICT service type (S01 to S19) or marked as a non-ICT service. This separates ICT arrangements that fall under DORA from other third-party arrangements in the same database.

Is ENFORMITY only for banks?

No. The register functions come from banking supervision requirements, but contract management, contract party data and AI capture are useful for any company or institution.

Security and data protection

Where is my data stored?

In data centres in the EU, encrypted with AES-256 at rest and transferred via TLS 1.2 or higher.

How is access controlled?

Through roles with read, create, edit and delete rights per module, and access profiles that restrict contracts by contract party, role in the contract, contract list or field condition. Sign-in works with email and password or Google, optionally with a two-factor code by email.

Is every change traceable?

Yes. ENFORMITY logs every change to a contract field with old and new value, keeps a change history for contract parties and contact persons, and records who viewed a contract.

Can several companies of a group use one installation?

Yes. ENFORMITY is multi-tenant: each organisation's data is strictly separated, and users can work for several organisations and switch between them.

Is there a data processing agreement?

Yes, a data processing agreement under Art. 28 GDPR is part of the contract.
